How OpsFlo collects, uses, shares, and protects personal information across our website, platform, and mobile applications, and the rights and choices available to you.
1.Introduction
Indoglobus Solutions LLP (“OpsFlo,” “we,” “us,” or “our”) respects your privacy and is committed to protecting personal information entrusted to us.
This Privacy Policy explains what personal information we collect, how we use and share it, how long we keep it, and the rights and choices available to you. It applies to the website at ops-flo.com and its subdomains, to the OpsFlo platform and mobile applications, and to our sales, marketing, support, and recruitment activities (collectively, the “Services”).
This Policy does not apply to third-party websites, services, or systems that we link to or integrate with. Those are governed by their own privacy notices.
2.Our Two Roles: Controller and Processor
Because OpsFlo is a business-to-business platform, we handle personal information in two distinct capacities. The distinction matters, because different rules apply to each.
As a controller. We determine how and why information is processed when we operate our website, respond to demo requests, run marketing programs, manage customer relationships, recruit candidates, and administer our business. This Policy describes those activities.
As a processor or service provider. When a customer organization uses the OpsFlo platform, that customer determines what data is entered and how it is used. This includes field tickets, work orders, inspections, crew records, timesheets, asset histories, location data, photographs, and signatures (“Customer Data”). We process Customer Data only on the customer’s documented instructions, under the terms of the applicable Customer Agreement and Data Processing Agreement.
If you are an employee, contractor, or field crew member of an OpsFlo customer and you have a question about data held in the platform, please contact your employer directly. They control that data. We will refer such requests to them and support their response as required by our agreement with them.
3.Information We Collect
3.1 Information you provide
- Contact and professional details: name, business email, telephone number, job title, company name, company size, region of operations, and country.
- Demo, sales, and enquiry information: the content of your request, current systems in use, operational challenges described, timelines, and any notes captured during calls or correspondence.
- Interactive tool inputs: figures and assumptions you enter into the ROI Calculator or similar tools, such as crew counts, ticket volumes, billing cycle length, and rate information.
- Subscription and content requests: email address and preferences when you subscribe to the Intelligence Brief, download a resource, or request a security brief.
- Comments and submissions: name, email address, and content when you comment on a blog article or submit material to us.
- Recruitment information: resume, employment and education history, references, work authorization status, and anything else you choose to include when applying for a role.
- Communications: the content of emails, support tickets, chat and messaging exchanges including WhatsApp, and, where permitted by law and with any required notice or consent, call recordings.
- Account information: credentials and profile details for authorized platform users, including single sign-on identifiers.
3.2 Information collected automatically
When you visit the Site or use the platform, we and our service providers may collect:
- IP address and approximate location derived from it;
- device type, operating system, browser type and version, screen resolution, and language;
- pages viewed, referring and exit pages, links clicked, scroll depth, session duration, and timestamps;
- diagnostic, performance, error, and security log data;
- cookie identifiers and similar identifiers (see Section 4).
For the OpsFlo mobile application, we may also collect device identifiers, application version, crash data, and, where you enable it, precise geolocation used for job assignment, mobilization tracking, and field ticket verification. Location collection can be controlled through your device settings, though disabling it may limit certain field functionality.
3.3 Information from other sources
We may receive information about you from:
- our customer organizations, when they provision you as a platform user;
- business contact and enrichment providers, and professional networking platforms;
- marketing and event partners, including conference organizers and webinar hosts;
- referral sources and channel partners;
- publicly available sources such as company websites and public registries;
- integrated third-party systems that a customer connects to the platform.
3.4 Sensitive information
We do not seek to collect sensitive or special category personal information through the Site. Some platform functionality operated on behalf of customers, for example incident reporting or safety documentation, may involve information a customer chooses to submit. That processing is governed by the customer’s instructions and the applicable Data Processing Agreement.
5.How We Use Information
We use personal information to:
- Operate, maintain, secure, and improve the Site and the platform.
- Respond to demo requests, enquiries, security brief requests, and support tickets.
- Provision, authenticate, and administer platform accounts.
- Send administrative and transactional communications, including service notices, security alerts, and changes to terms.
- Send marketing communications, newsletters, and event invitations, subject to your choices and applicable law.
- Personalize content and measure the effectiveness of our marketing and content programs.
- Conduct analytics and research to understand usage patterns and improve product design.
- Evaluate job applications and manage recruitment.
- Detect, investigate, and prevent fraud, abuse, security incidents, and other harmful or unlawful activity.
- Comply with legal obligations, enforce our terms, establish or defend legal claims, and protect our rights and those of our customers and users.
- Support corporate transactions such as financing, audits, mergers, or acquisitions.
Aggregated and de-identified data. We may create aggregated or de-identified data that does not identify any individual and use it for benchmarking, research, product development, and publication of industry insights. We maintain de-identified data in that form and do not attempt to re-identify it, except as permitted by law.
Artificial intelligence. The platform uses machine learning to support functions such as anomaly detection, predictive maintenance, dispatch recommendations, and revenue risk flagging. These features assist human decision-making and do not produce legal or similarly significant effects on individuals. We do not use Customer Data to train models for the benefit of other customers except in aggregated or de-identified form, and only where permitted by the applicable Customer Agreement.
6.Legal Bases for Processing
Where the EU or UK General Data Protection Regulation applies, we rely on the following legal bases:

Where we rely on consent, you may withdraw it at any time. Withdrawal does not affect processing carried out before withdrawal.
8.International Transfers
We operate internationally. Personal information may be stored and processed in India, the United States, and in other countries where we, our affiliates, or our service providers operate. Data protection laws in those countries may differ from those in your country of residence.
Where we transfer personal information from the European Economic Area, the United Kingdom, or Switzerland to a country not subject to an adequacy decision, we implement appropriate safeguards, which may include the European Commission’s Standard Contractual Clauses, the UK International Data Transfer Addendum, and supplementary technical and organizational measures.
Platform customers may have configurable data residency options. Where a specific storage region has been agreed in a Customer Agreement, that commitment governs.

9.Data Retention
We retain personal information only for as long as necessary for the purposes described in this Policy, and then delete or de-identify it.

Actual periods may vary where a longer period is required by law, or where information is subject to a legal hold.
10.Security
We maintain technical and organizational measures designed to protect personal information against unauthorized access, disclosure, alteration, and destruction. Measures include encryption of data in transit and at rest, role-based access control, multi-factor authentication, tenant isolation, logging and audit trails, vulnerability management, and periodic security testing. No method of transmission or storage is completely secure. While we work to protect your information, we cannot guarantee absolute security. You are responsible for safeguarding your credentials and for notifying us promptly of any suspected compromise at support@ops-flo.com.
Where we are required to notify you or a regulator of a personal data breach, we will do so without undue delay and in accordance with applicable law.
11.Your Rights and Choices
Subject to applicable law and to verification of your identity, you may have the right to:
- Access the personal information we hold about you and receive a copy;
- Correct inaccurate or incomplete information;
- Delete personal information, subject to exceptions;
- Restrict or object to certain processing, including processing based on legitimate interests;
- Portability, that is, to receive information in a structured, commonly used, machine-readable format;
- Withdraw consent at any time where processing is based on consent;
- Opt out of marketing communications;
- Opt out of the sale or sharing of personal information, and of targeted advertising, where applicable;
- Non-discrimination for exercising your privacy rights;
- Nominate another person to exercise rights on your behalf, where local law provides for this;
- Complain to a supervisory authority or regulator in your jurisdiction.
How to exercise your rights. Submit a request to info@ops-flo.com or through our contact form. We will verify your identity before acting and will respond within the timeframe required by applicable law. There is no fee unless a request is manifestly unfounded or excessive.
Authorized agents. Where permitted, an authorized agent may submit a request on your behalf with proof of authorization.
Appeals. If we decline your request and the law of your jurisdiction provides an appeal right, you may appeal by writing to info@ops-flo.com with the subject line “Privacy Request Appeal.”
Requests about platform data. If your request concerns data held in the OpsFlo platform on behalf of a customer, we will direct it to that customer, who is the controller of that data.
12.Additional Regional Disclosures
12.1 European Economic Area, United Kingdom, and Switzerland
The controller for the processing described in this Policy is Indoglobus Solutions LLP, Pune, Maharashtra, India. You have the right to lodge a complaint with your local supervisory authority.
12.2 United States
Residents of California, Colorado, Connecticut, Texas, Virginia, and other states with comprehensive privacy laws have the rights described in Section 11.
In the preceding twelve months, we have collected the categories of personal information listed in Section 3, which correspond to the following statutory categories: identifiers, commercial information, internet or network activity, geolocation data, professional or employment-related information, audio or visual information where calls or images are recorded, and inferences drawn from the foregoing. Sources, purposes, and disclosure recipients are described in Sections 3, 5, and 7.
We do not knowingly sell or share the personal information of consumers under 16 years of age. We do not use or disclose sensitive personal information for purposes other than those permitted without an opt-out right under applicable law.

12.3 India
Indoglobus Solutions LLP is established in India, and processing carried out by us is subject to the Digital Personal Data Protection Act, 2023 and the rules made under it, to the extent applicable.
If you are located in India, you may exercise the rights described in Section 11, including the right to obtain a summary of the personal data we process, the right to correction and erasure, and the right to nominate another individual to exercise your rights in the event of death or incapacity.
Grievances relating to the processing of personal data may be addressed to our grievance contact at info@ops-flo.com with the subject line “Data Protection Grievance.” We will acknowledge and respond within the period required by applicable law. If your grievance is not resolved to your satisfaction, you may refer the matter to the Data Protection Board of India.
13.Children
The Services are intended for business use and are not directed to individuals under 18. We do not knowingly collect personal information from children. If you believe a child has provided information to us, contact info@ops-flo.com and we will delete it.
14.Marketing Preferences
You can unsubscribe from marketing emails using the link in any such message, or by contacting info@ops-flo.com. If you have consented to receive SMS or WhatsApp messages, you may opt out by replying STOP or by contacting us. We will continue to send transactional and relationship communications relating to an active enquiry, account, or contract.
15.Third-Party Links
The Site links to third-party websites, social platforms, and resources. We are not responsible for their content or privacy practices. We encourage you to review the privacy notice of any site you visit.
16.Changes to This Policy
We may update this Policy from time to time. The “Last updated” date at the top will reflect the most recent revision. If we make material changes, we will provide additional notice, such as a banner on the Site or an email to registered contacts, where required by law. Continued use of the Services after the effective date constitutes acceptance of the revised Policy.
